The Many Advantages Of Obtaining A Professional Transcription

By Ladonna Chambers

The complexity of modern living has many manifestations. Mountains of paperwork are just one of them. Everything must be recorded and properly notarized and only the foolish will even consider entering into an oral agreement. Even formal discussions are recorded and an accurate professional transcription of proceedings has become more important than ever before. It is vital to have records that are precise in order to avoid misunderstandings and conflict at a later stage.

Professionals use several different methods to produce accurate records of proceedings. The most popular remain the stenograph machine, also called a stenotype machine. This device looks a bit like a special shorthand typewriter. The operator presses combinations of keys to record the spoken word and even gestures, body language and other sounds, such as laughter. Modern versions can be linked to computers that quickly translate the recoded keystrokes into text.

The technological age has seen the birth of electronic forms of reporting. In this case recorders use advanced audio equipment to record proceedings, but whilst the audio part of the proceedings is recorded, the recorder makes notes about the identity of the speakers and relevant body language. The final transcript is made from these notes and the recording, but it is time consuming. However, it is one of the most accurate methods.

Voice writing is also gaining in popularity. With this method the operator speaks into a mask that is specially designed to limit disruptions and to dampen the voice of the operator. The recorder not only repeats all the words but also gestures and other sounds. When the proceedings are done, the recording is transcribed into text by using special and very sophisticated voice recognition software.

One is used to see these professionals operating in court rooms. It is true that there are judges that simply will not proceed without the services of such a professional, but they are also in demand in a lot of other places. Businesses use them to record negotiations and important meetings. Governments use them to make accurate copies of negotiations and even lawyers use them to record depositions and other important meetings.

There is much more to this profession than merely recording and transcribing proceedings. It is also necessary to maintain an excellent administration and record keeping system. Clients often want extra copies of the records of proceedings and it is necessary to have the ability to produce these at short notice. Machinery must also be kept in excellent condition and many professionals spend hours maintaining their computer dictionaries.

To be successful in this career it is necessary to have an aptitude for languages. Practitioners have to be knowledgeable in the specific terminology used in the legal, medical and business environments. Many business schools offer courses and students must pass both theoretical and practical tests. Most practitioners are avid readers and they must be technologically literate and have a keen interest in current affairs.

It is certainly true that a professional transcription of any important meeting is one of the best ways in which to avoid conflict and misunderstanding. In this modern day and age only an accurate recording of proceedings can serve as a confirmation of what exactly was said and by whom. Practitioners need high levels of concentration and they must be obsessive about accuracy, however.
